I\u2019m a busy guy and I like to save time. Computers are supposed to help me do that, right?<\/p>\n\n\n\n<p>It just so happened that I had yet another routine task that required automation. Case in point: My online accounting software includes an option for me to upload receipts. When I purchase an item, I\u2019ll either (a) take a picture of the receipt on my phone and send it over to my Mac via AirDrop or (b) I\u2019ll take a screenshot of the emailed invoice using <a href=\"\/\/eshop.macsales.com\/blog\/85099-app-star-of-the-week-cleanshot-x-for-mac\/?srsltid=AfmBOoqk17Aw3S5wViiu7K3D9fHuZ27bvDttFOfraEVMt68ebU_G1TH7\u201d\">Cleanshot X<\/a>. (I mostly do the latter.)<\/p>\n\n\n\n<p>The only problem with capturing a screenshot of a purchase invoice is that the resultant file will be given a generic filename, usually in the form of: <strong>CleanShot 2025-08-23 at 17.27.09@2x.jpg<\/strong>.<\/p>\n\n\n\n<p>This isn\u2019t particularly useful, considering that these receipts are ultimately stored in the same folder on my Mac.<\/p>\n\n\n\n<p>Prior to automation, I would manually rename each file. Over time, I found the process not only repetitive, but downright annoying.<\/p>\n\n\n\n<p>Life would be so much better if I could have my Mac read the contents of the screenshot and rename itself to include both the vendor\u2019s name and the date. For this task, I employed <a href=\"\/\/eshop.macsales.com\/blog\/86195-app-star-of-the-week-hazel-for-mac-is-file-automation-for-the-rest-of-us\/?APC=READERSPC&amp;srsltid=AfmBOopLVPAnwaJfCFZnK6bWXoqczPvXmjdJQiD5DfLB8PVmUK-_J1GY\u201d\">Hazel<\/a>. Hazel version 6 supports Optical Character Recognition (OCR), so it can read the contents of an image.<\/p>\n\n\n\n<p>Hazel performs tasks based on rules you assign to specific folders. The following rules would need to be applied to my Screenshots folder, where the screenshots of my invoices reside. When making rules in Hazel, it\u2019s important to think like a computer. On the left are the folders you want Hazel to look at. In the middle pane are the Hazel Rules. On the right, you&#8217;ll find the details to the Rule you have selected.<\/figcaption><\/figure>\n\n\n\n<p>The first Hazel rule I created was simple: open the <strong>Screenshots<\/strong> folder when a new screenshot is added. Typically ALL of my Cleanshot X screenshots are saved into the <strong>Screenshots<\/strong> folder.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1473\" height=\"636\" src=\"https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule.jpg\" alt=\"\" class=\"wp-image-97664\" srcset=\"https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule.jpg 1473w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule-278x120.jpg 278w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule-284x123.jpg 284w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule-190x82.jpg 190w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule-278x120@2x.jpg 556w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule-284x123@2x.jpg 568w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Hazel_vendor_rule-190x82@2x.jpg 380w\" sizes=\"auto, (max-width: 1473px) 100vw, 1473px\" \/><figcaption>Here&#8217;s a rule I have applied for the vendor Amazon.<\/figcaption><\/figure>\n\n\n\n<p>Next, I made a rule for one of my vendors: <em>Amazon<\/em>. For this rule, I have Hazel process the contents within the screenshot of an Amazon invoice, looking for the word \u201cAmazon\u201d. If Hazel detects the word \u201cAmazon\u201d inside the screenshot, the program will automatically rename the file with the prefix <strong>Amazon<\/strong> followed by the date that the screenshot was created, and keep the appropriate file extension (usually .jpg).<\/p>\n\n\n\n<p>If the vendor is NOT Amazon, I include an option for Hazel to continue checking against other rules within the Screenshots folder, in case the receipt is from a different vendor.<\/p>\n\n\n\n<p>I have several \u201cregular\u201d vendors I use throughout the year. Each vendor has its own rule set up inside Hazel. (To make those rules, I copy\/paste\/modify to tailor the rule to the vendor in question. Other vendors get placed into the Unsorted folder for manual processing.<\/figcaption><\/figure>\n\n\n\n<p>If my Hazel rules do not match with any of the vendor rules I have already set up, then Hazel will rename the file to <em>Unsorted<\/em> and places it in a sub-folder called <strong>Unsorted<\/strong> inside my <strong>Screenshots<\/strong> folder.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1419\" height=\"1019\" src=\"https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals.jpg\" alt=\"\" class=\"wp-image-97666\" srcset=\"https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals.jpg 1419w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals-167x120.jpg 167w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals-284x204.jpg 284w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals-190x136.jpg 190w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals-167x120@2x.jpg 334w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals-284x204@2x.jpg 568w, https:\/\/eshop.macsales.com\/blog\/wp-content\/uploads\/2025\/08\/Shortcuts_for_Totals-190x136@2x.jpg 380w\" sizes=\"auto, (max-width: 1419px) 100vw, 1419px\" \/><figcaption>I created an Apple Shortcut called &#8220;OCR Screenshot&#8221; which uses regular expressions to look for the word &#8220;Order: $&#8221; or &#8220;Order Total: $&#8221; and copy the value to its right.<\/figcaption><\/figure>\n\n\n\n<p>Additionally, each vendor rule includes a \u201cRun Shortcut\u201d command, which, when executed, will run the \u201cOCR Screenshot\u201d Shortcut on the screenshot, looking for the words \u201cOrder Total: $\u201d. If it finds that string in the screenshot, the Shortcut will copy the contents of the value next to that text string into the Mac\u2019s clipboard, so that I can conveniently paste it into my accounting software.<\/p>\n\n\n\n<p>While these Hazel rules aren\u2019t bullet-proof, they work really well for the vendors I use on a regular basis. Because I\u2019m not manually processing these receipts, I\u2019m saving time. The main limitation of my Hazel vendor rules is that the invoice screenshots must be taken on the same day as the invoice is received, or the filename date will not match what\u2019s listed on the invoice. This isn\u2019t a problem for me, as I always take a screenshot within a few hours of receiving such an invoice.<\/p>\n\n\n\n<p>Do you use automation on your Mac?
